New England District: Boys Camp Administrator

 

Overview:  The Camp Administrator is the direct support for the Boys Camp Director for administrative/management functions and supports the success of the camp in a team environment.

The Camp Administrator is responsibilities are to include but not limited to:

  • Prepare a camp expense budget

·          Maintain camp expense journal

·          Approve expense payments

  • Must be available to respond to emails/phone calls in a timely manner

·          Coordinate with facilities

·          Point of contact for rink/college/hotel (if need)

  • Hire/Obtain Trainer (as approved by Camp Director)
  • Schedule certain camp activities (as directed by Camp Director)

·          Collect pertinent coach/counselor/staff documents ( including W9’s)

·          Collect Coach paperwork (background check, USAH registration)

·          Maintain player lists – tryout list provided by States with Alternates

·          Website access – update player lists, camp information/details

  • Stay on-site during camp period - April/May, June and July at camp location- for each age group based on weekends and weekdays. ( 4 days April/May – two separate weeks in June/July)
  • Liaison with parents
    • Collect Player consent to treat at camp check in
    • Emails to families
    • Collecting any fees
  • Assign rooms to player and staff, counselors
  • Check-in players
    • at rink
    • into dorms
    • Hand out player jersey/socks
  • Staff communication (Communicate to Staff/Counselors/Coaches as directed by Camp Director)
    • Ice time communication
    • Maintain staff/ player schedules
    • Player team assignments (using player grid)
    • Provide direction and instructions to counselor
  • Order/Sell
    • Order player jerseys/socks o    Order coaches warm-ups o Staff/Counselors attire
    • Order/Manage any camp clothing (bring to venue, pack-up, etc.)
    • Sell any camp merchandise at rink (as possible )
    • Office supplies needed for camp
  • Reports to the NED Board on the camp (camp report) at Camp Debrief meeting

 

Qualifications

Organizational skills, facilities with computers, excel, budget concepts, effective written and oral communications, sports /camp management experience.
